Westside Venue Graphics Team Instructions

  1. Turn on the video rack, then Log-in to the iMac computer and power on the projectors.
    1. To turn on the video rack, flip the power switch on the top right corner of the equipment rack to the right of the iMac computer.
    2. To turn on projectors, open Safari on the iMac.  Click on the bookmark bar links for “Primary Left Projector,” “Primary Right Projector,” “Background Projector,” and “Message Projector.”  Click the “On” button on the web page that appears, then click “OK” to confirm on the next page.
  2. Set the video rack to “Worship” preset.
    1. On the grey Blackmagic Design button panel, press the “Worship” button then press the “Go!” button.
  3. Take a look at the Order of Service (WSV Venue OOS) and the teacher’s notes so you know what will happen during the service.
  4. On the iMac, open ProPresenter (“Pro” icon in dock).
    1. Announcements, Songs, and Message are preloaded in the playlist at the bottom left of the screen.
  5. Open ProPresenter on the Background Mac mini
    1. Double click on the “Background Mac mini” icon on the desktop.
    2. Click “Connect” on the pop-up window.
    3. In the top menu bar, click “View -> Display 1”
    4. Open ProPresenter (“Pro” icon in dock).
    5. Click the “Output” icon at the top right so it displays green.
    6. Close the screen sharing window.
  6. Open ProPresenter on the Message Mac mini
    1. Double click on the “Message Mac mini” icon on the desktop.
    2. Click “Connect” on the pop-up window.
    3. In the top menu bar, click “View -> Display 1”
    4. Open ProPresenter (“Pro” icon in dock)
    5. Cue up the backup message video by clicking on the “Message Backup” playlist item, then right clicking on the video slide.
      1. Click Media Properties from the drop down list
      2. In the Media Cue Inspector window, drag the grey status bar to find the beginning of the message video.
      3. Click the “In” button to set the start point of the video.
      4. Drag the grey status bar to find the end of the message video.
      5. Click the “Out” button to set the end point of the video.
      6. Close the Media Cue Inspector window.
    6. Close the screen sharing window.
  7. Cue up the message video.
    1. Insert the SSD drive into the left drive bay on the Blackmagic video player.
      1. You may have to angle the drive slightly as you insert it.
      2. The drive bay will glow green, and video will appear on the right monitor when it is inserted correctly.
    2. Press the fast forward button to scan forward to the beginning of the message.
      1. Pressing the fast forward button multiple times will increase the fast forward speed.
    3. Press stop at the beginning of the message.  Use the Jog dial to cue the video to just before Noel walks into the video frame.
      1. Press the “Jog” button until it lights up.
      2. Rotate the dial clockwise or counter-clockwise to advance or rewind to the correct spot.
    4. Write down the time code displayed on the SSD player.
    5. Raise the center screen by pressing and releasing the white screen switch.
      1. Screen will automatically rise to the correct position.
      2. Pressing the switch a 2nd time will stop the screen from rising all the way.
      3. Pressing the switch a 3rd time will cause the screen to go back down.
    6. Switch the video rack to preset “Message”.
      1. Press either top “Message” button on the gray Blackmagic Design button panel.
      2. Press the “Go!” button on the gray Blackmagic Design button panel
      3. Press the “Play” button on the Blackmagic SSD player.
    7. Check that the video looks good on the center screen.
    8. Check audio levels with the sound person.
    9. Stop the video.
      1. Press the “Stop” button on the Blackmagic SSD player.
      2. Press the “Worship” button on the gray Blackmagic Design button panel.
      3. Press the “Go!” button on the gray Blackmagic Design button panel.
    10. Rewind the video until the time code on the SSD display matches what you wrote down.
  8. Confirm the song order with the band leader before the production meeting.
    1. On the iMac click the desired song in the playlist on the bottom left.
    2. Click the Arrangement button. (button directly below the “Volume” button at the top right)
    3. Drag the blue bubbles labeled “Verse 1”, “Verse 2”, “Chorus”, “Bridge” into the correct order according to the band leader.  You can add additional parts to the song arrangements by dragging the gray bubbles down to the line of blue ones.  Add a “Blank” for instrumental breaks and be sure to leave a “Blank” at the beginning and end of each song.
    4. Click the Arrangement button again to close and move on to the next song.
  9. 30 Minutes before the service begins/right before the production meeting, click on the “Announcement Slides” in the playlist, then the first announcement slide.
    1. Announcement Slides will loop until you click on the last blank slide.
  10. Turn on the lobby TV’s.
    1. TV remote is located in the top file cabinet drawer on the right.
  11. When the band goes onstage for the first music set, click on a background in the video/image bin, click on the first song in the playlist, then the first slide.  You can follow along by clicking on each slide or by using the left and right arrow keys. Be sure to click on a new background for each song.
  12. During the prayer at the end of the announcements, Press and release the white switch to raise the center screen.
    1. After the prayer, click on the “Title Package” playlist item, then click the first slide.
    2. Click on the video to start playing the title package.
    3. Press the “Message” button on the gray Blackmagic Design button panel.
    4. As soon as the screen is fully deployed, press the “Go!” button on the gray Blackmagic Design button panel.
    5. When the title video ends, press the “Play” button on the Blackmagic SSD player.
    6. Click on the “Message” item in the iMac playlist.
    7. Click on the first slide in the message.
      1. You can advance to the next slide by clicking on it, using the space bar, or the right arrow key.
      2. If you need to skip a slide, just click on the next slide you would like displayed.
      3. Any videos or images will be embedded in the message slides and will play when you click on that slide.
  13. At the end of the message, click on the last message slide.
    1. During the prayer at the end of the video message Press the “Worship” button on the gray Blackmagic Design button panel.
    2. After the “Amen” at the end of the prayer and Noel walks out of the video frame, Press the “Stop” button on the Blackmagic SSD player.
    3. Press the “Go!” button on the Blackmagic Design button panel.
    4. Press and release the white screen switch to lower the center screen.
  14. After the last song, and after the worship leader dismisses everyone, play the Announcements.
    1. Announcements are both the first and last time in the playlist.  These are identical.
    2. Re-cue the message video for the next service using the timecode you wrote down in step 7-d.
    3. After the last service of the day and most people have left, power off the 4 projectors.
      1. To turn off the projectors, open Safari on the iMac, click the links for all 4 projectors in the bookmarks toolbar, and click the standby button on the web page that appears.  A box will ask you to confirm before the projector will power off.
      2. Turn of the lobby TV using the remote located in the top right file cabinet drawer.
      3. Quit ProPresenter on the iMac and both Mac mini computers. (Command -> Q)
      4. Put the iMac computer to sleep. (Apple Menu->sleep)
      5. Turn off the video rack.
      6. Remove the SSD drive and place it in the black WSV transport bin.
  15. Special Circumstances
    • A RivKid worker brings you a page tag, needing to page a parent:
      • If it’s during the message:
        • If a video is playing or the speaker is reading text that appears on the screen, wait until the end of that segment.
        • Click on the Messages button in the top middle of ProPresenter on the Primary iMac.
        • In the Message box, end the number on the RivKids tag and click “Show Message.”
        • Once you see someone who looks like a parent stand up and head towards an exit, click “Hide.”
        • Click the Messages button again to close the Messages box.
      • If it’s during the music:
        • If a song is just beginning or ending, wait until the first lyrics slide.
        • Click the Messages button in the top middle of ProPresenter on the Primary iMac.
        • In the Message box, enter the number on the RivKids tag and click “Show Message.”
        • Once you see someone who looks like a parent stand up and head towards an exit, click “Hide.”
        • Click the Messages button again to close the Messages box.
    • Someone informs you that there is a medical emergency and the medical response team needs to be paged:
      • Follow the same procedures as for paging a parent above, but type in the word “STAT” in all capital letters.
    • Someone informs you that the Safety/Security Team needs to be paged:
      • Follow the same procedures as for paging a parent above, but type in the word “SFTY” in all capital letters.
    • Someone informs you that a car’s lights have been left on:
      • Please refrain from displaying these types of messages.  We will gladly jump start the car after the service.
